A leading global player in the e-commerce and apparel retail industry is looking for a proactive, highly organized, and service-oriented Legal Coordinator to support its Legal Affairs team during a temporary assignment. This role is ideal for someone who thrives in an international environment, enjoys being the operational backbone of a team, and is comfortable handling a variety of administrative, legal-support, and coordination tasks.

Administrative & Legal Support

  • Manage general and confidential correspondence.
  • Prepare overviews, reports, and presentations (PowerPoint and Legal Design tools).
  • Take meeting minutes when required.
  • Maintain and manage legal databases and systems (e-billing, Coupa, SAP for invoice approval, gCLM, Concur, etc.).
  • Coordinate with vendors regarding invoice payments.
  • Organize the signing process for legal documents, including DocuSign workflows, wet signatures, and legalization steps.
  • Assist with preparing and sending physical and digital mailings.

Team & Office Coordination

  • Support the Legal Leadership Team and act as a key point of contact for operational needs.
  • Handle onboarding processes for new colleagues, including IT setup and access management through ServiceNow.
  • Resolve or coordinate resolution of IT-related issues for VP and Legal Directors.
  • Perform general office duties: filing, mail handling, courier shipments, supply monitoring, and occasional floor clean-ups.
  • Maintain an overview of team whereabouts, trainings, and scheduling needs.
  • Liaise with internal departments (IT, Facilities, etc.).
  • Provide coverage for colleagues during absences.

Event & Meeting Organization

  • Plan and execute both digital and in-person team events (full-day sessions, evening gatherings, external venues, guest speakers, catering, gifts, etc.).
  • Organize team meetings, conference calls, video conferences, and the bi-annual Legal Summit.
  • Arrange meeting rooms and coordinate logistics (drinks, snacks, lunch).
