We're looking for a hands-on Operations & Admin Allrounder — 24–32 hours per week — flexible days and hour someone who picks up the things that aren't getting the focus they need and makes sure they get done properly. Think: finance admin that runs like clockwork, HR operations that don't fall through the cracks, and processes and manuals that help us scale without everything depending on one person.

Right now, a number of operational tasks have no clear owner. You'll take ownership of those, build structure around them, and gradually help automate or hand off what can be systematized. Sales administration is part of the role in the short term — but the goal is to streamline those processes over time so they can be largely automated or absorbed by the sales team as we grow.

Tasks

Finance & admin and HR are the heart of this role. Operations & process building is where you can add extra value as you settle in — and where there's real room to leave your mark.

Finance & admin

  • Monthly bookkeeping prep: processing purchase and sales invoices, bank mutations, and debtor/creditor management in coordination with our external accountant
  • Handling payments to third parties, staff reimbursements, and keeping the financial administration clean month to month
  • Processing manual sales orders and adjustments — with the goal of gradually automating and handing these off as the team grows
  • Ad-hoc admin: booking travel, accommodation, and arranging small gestures for special occasions (cards, flowers)

HR operations

  • Drafting and managing contracts, amendments, and HR documentation for new hires and role changes
  • Tracking PTO, sick leave, and hours; coordinating with our payroll provider
  • Supporting the hiring process end-to-end: posting vacancies, coordinating interviews, and onboarding new team members

Operations & process building

  • Writing and maintaining internal procedures and manuals — turning implicit knowledge into documented, scalable processes
  • Picking up tasks that currently have no clear owner, identifying bottlenecks, and building structure around them
  • Contributing to the setup and optimization of our operational systems, including finance and CRM tooling
Requirements
  • MBO+/HBO level working and thinking — experienced in administrative, operational, or HR support roles
  • Organized and reliable: you track what needs to happen and make sure it does
  • Hands-on and self-directed — you don't wait to be told what needs fixing
  • Comfortable switching between finance admin, HR tasks, and operational work without losing momentumAble to write clear procedures and documentation in practical, accessible language
  • 24-32h split over 3–5 days/week, flexible start and end times
  • Fluent in both Dutch and English — written and spoken (both are required)
  • At ease in a fast-growing, dynamic, international, and ambitious team where things move quickly and no two days are the same
  • Familiarity with a CRM or HR admin systems is a plus
