Job Mission:

The HR Specialist supports the HR Manager Northern Europe in delivering efficient, high-quality HR services across the region. This role focuses on day-to-day HR operations, administrative excellence, and employee lifecycle support, ensuring smooth execution of HR processes and a positive employee experience.

Working across the Netherlands, Belgium, the Nordics, and Germany, the HR Specialist plays a key role in maintaining accurate HR data, supporting managers and employees with HR queries, and ensuring that policies and procedures are consistently applied. The role combines strong organizational skills with a service-oriented mindset to support both the HR team and the wider business.

Key Responsibilities:

1. HR Operations & Administration

  • Manage and maintain employee records, HR systems, and personnel files, ensuring data accuracy and compliance.
  • Support payroll preparation, benefits administration, and coordination with external providers.
  • Handle HR documentation, including contracts, amendments, onboarding and offboarding paperwork
  • Act as the first point of contact for employee HR queries, providing timely and accurate support

2. Employee Relations & Culture

  • Assist in organizing employee engagement activities, events, and internal communications.
  • Contribute and support in initiatives that enhance employee engagement, well-being, and inclusion.
  • Support the handling of employee relations matters by preparing documentation and tracking cases

3. Office & Workplace Support

  • Collaborate with Office Management to ensure smooth workplace operations and administrative processes.
  • Support with office facilities, workspace planning, supplies and equipment, together with the Head of Office.
  • Support with safety protocols, and administrative processes are efficient and well-implemented.
  • Help maintain a well-organized, safe, and welcoming work environment

4. Talent Management & Development

  • Support in talent management and workforce planning.
  • Coordinate training activities and development initiatives in collaboration with HR Manager.

5. Employee Lifecycle Support

  • Coordinate onboarding and offboarding processes, ensuring a smooth employee experience
  • Support recruitment activities, including interview scheduling, candidate communication, and documentation.
  • Assist in implementing performance management cycles and follow-up actions.

Track employee movements, absences, and key HR metrics.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field.

· Fluent in English and Dutch, both oral and written.

  • 2–4 years of experience in an HR support or administrative role, preferably in an international environment
  • Experience working with HR systems and handling confidential data.

Skills and competences

  • Strong organizational skills and attention to detail.
  • Service-oriented mindset with a proactive and hands-on approach.
  • Good communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
